Job Description:

Administrative Clerk/Receptionist needed for 20-person civil/structural consulting engineering office located in the Llyod district in Portland. Responsible for administrative support and coordination for contracted projects as well as reception duties. Administrative work experience for a professional services firm specializing in engineering is desirable.

Position duties:

  • Administrative assistance for document preparation and production
  • Collecting and tracking inter-office correspondence, invoices, and expense reports
  • Processing incoming and outgoing company mail and inter-office mail
  • Coordinate and prepare monthly department staffing and sector reports
  • Coordinate project cost tracking with accounting department
  • Prepare project progress reports
  • Coordinate and prepare project submittals and deliverables
  • Maintain project documentation
  • Reception duties including greeting visitors, directing callers, fax distribution, and express deliveries
  • Meeting, conference, copy room, lobby, and kitchen organization and maintenance
  • Purchasing and tracking department and office supplies
  • Retrieving, collating, and providing department expenses and invoices to department head and routing to accounting department
  • Maintaining lists and information, including extension lists, phone number lists, and contact information in Outlook
  • Coordinating facilities issues with building maintenance management
  • Employee welfare assistance, including routing employee communications and organizing office events
