Specialist - Central Title
Job ID #: 2553 Location: VA - Richmond, Home Office Position Category: Operations Department: Business Operations Division: CarMax Home Office Education Required: High School Diploma Position Type: Full-Time Regular Relocation Provided: Experience Required: Not Indicated Under limited supervision, responsible for sending/receiving all customer lien holder payoff information, receipt of titles to/from Store Locations, and lien holder, as well as, Auction vehicles purchased at off-site auctions for all assigned lienholder and auction accounts. Larger Volume accounts are assigned every 3-4 months, smaller lienholder accounts are assigned daily.

•Review customer accounts for lien holder payoff information and release of title or lien to the CarMax location.
•Obtain updates on accounts from lien holders and update notes in the PATH system.
•Escalate accounts with lien holders when necessary
•Communicate and market the ability to perform payoffs using ACH with the lien holders and partner with the Merchandise Payables Supervisor when identified.
•This position is expected to find any process improvement options that would expedite the release of title/lien by building relationships with the assigned lienholder including but not limited to ACH payment option, communicating account information via fax/email vs phone calls, offering additional title delivery options, all with the goal of expediting payments and the release of title and liens to CarMax.
•Manage and develop relationships with lien holders
•Collect/secure titles from lienholders, reassign titles when necessary, and send them to the CarMax location that has the vehicle.
•Work with other departments, and store locations when necessary to resolve lien holder and auction house questions/issues.
•Resolution includes the generation of solutions and recommendations to obstacles faced when processing lien holder and auction house questions and issues. Help store location obtain duplicate titles when necessary
•Complete all necessary functions as part of purchasing vehicles from an off site auction including but not limited to the following:
•Work directly with the Purchasing Department’s Auction Point of Contact (APOC’s) on the receipt of the bills of sales for the vehicles purchased, partner on any escalated title issues that may result in the arbitration of a vehicle, payment discrepancies that may result in a purchase price change IAR.
•Complete/reassign titles as necessary when received from auction house(s) and send to the appropriate CarMax location.
•Complete and sign aprons for MP on Auction Payments for purchased vehicles, verifying the purchase price amounts and total number of vehicles purchased, attaching bills of sale or approved spreadsheet for on-line auctions
•Escalate auction title collection issues for off-site purchases to the Business Office Managers/Auction Point of Contact when necessary.
•Collect/secure titles from the auctions, reassign titles when necessary, and send them to the CarMax location that has the vehicle.

•Utilize department reports to understand productivity, priorities or items that need to be addressed and schedule/organize individual work accordingly
