Performs advanced and highly confidential administrative duties to assist the Executive Vice President or Senior Vice President. Uses judgment and initiative to determine the approach or action to take in non-routine daily situations. Makes independent decisions regarding planning, organizing and scheduling work. Ensures work is accurate and completed in a timely manner. Uses business vocabulary and knowledge of the organization operations, procedures and personnel to accomplish tasks. Communicates and coordinates with other executives as needed.
• Performs advanced and confidential administrative and secretarial duties for the Executive Vice President or Senior Vice President. • Coordinates and communicates assignments to EVP/SVP staff. Maintains confidentiality in all matters. • Performs daily activities accurately and timely. • Greets internal and external customers; handles inquires. • Refers more complex inquiries and/or complaints regarding company policies and procedures to appropriate officer and/or personnel. • Uses the personal computer to compose routine and non-routine correspondences from brief notes or oral or written instructions. • Types reports and creates forms as needed. • Proofreads materials for accuracy. • Uses discretion in answering and screening telephone calls. • Receives and assigns incoming mail to appropriate personnel to handle. • Responds to simple emails for supervisor. • Retrieves files and materials needed to address action items in mail/emails. • Controls and maintains supervisorÆs calendar; schedules and coordinates meetings, appointments and other activities. • Contacts individuals to communicate schedule changes, assist in compiling meeting agendas and speeches, etc. • Obtains data from various sources, analyzes data and prepares quarterly and monthly reports. • Prepares presentation materials. • Prepares and types reports for Board of Directors and stockholders meetings. • Maintains records, confidential files, and hold/diary system. • Does follow-up work as needed. • Requisitions, distributes and maintains supplies. • Prepares expense reports and handles payments for expense items. • Uses Microsoft products to perform daily activities. • Makes travel arrangement and hotel reservations. • Fills in for other secretaries or administrative assistants. • Performs other duties as assigned.
• 4 year college degree is preferred • Excellent communication, organization and time management skills • Ability to multi-task and pay attention to detail • Ability to work independently as well as in a team-oriented environment • Good interpersonal skills • Proficient in Microsoft Office (Access and PowerPoint a plus)
Required job duties are essentially sedentary work consisting of occasional walking, standing and lifting and/or carrying 10 lbs. maximum. Must be able to sit for extended periods of time using repetitive finger and hand motion on the keyboard.
Required job duties are normally performed in a climate-controlled office environment.
High school graduate or equivalent. Pursuing office management certification.
Four years as a secretary including three years as an Administrative Assistant.
• Knowledge of Farmers infrastructure. • Proficient in Microsoft Suite including excel, word, power point, etc. • Accurate typing from rough draft or machine transcription; proofreading and editing reports and business letters (using standard business vocabulary and grammar), setting up filing systems. • Excellent organization and time management skills.
