Job Description: 

Executive Assistant – Government & Community Relations

The responsibilities of the individual in this position include:

Provide administrative support to Director, Government & Community Relations including:

Provide updated content and information for Government & Community Relations web site and manage/respond to requests that come through website, post volunteer community volunteer opportunities.

File required federal lobbying disclosure forms and FEC PAC reports on monthly, quarterly, bi-annual and annual schedules as required. Bi-monthly reconciliation of PAC membership with vendor, facilitate approval and processing of PAC disbursements to campaign committees.

Manage matching gift program-assist users, facilitate payment at year end.

Assist in transition of annual United Way workplace giving campaign to volunteer committee.

Assist in management of Russell’s Community “Awearness” Days.

Track and process contributions for corporate memberships and sponsorships.

Provide ad hoc administrative support to Executive Assistant for the Chief Legal Officer including:

Comprehensive administrative support which includes: compile and file expense reports, travel and meeting arrangements, prepare and process checks for all corporate and focused giving grants, sponsorships and membership dues. Review monthly detail general ledger transaction reports and partner with principals and other administrative assistants to effectively develop, deploy and track annual department budgets.

Assist with the scheduling of and preparation for meetings of Russell boards and committees.

Requirements

The successful candidate will have extensive demonstrable skills and experiences including the following:

Minimum of eight years increasingly responsible administrative experience.

Attention to detail and excellent record of never missing a deadline for filing key reports.

Ability to multi-task effectively and understand key prioritization.

Understand competing responsibilities and deadlines related to supporting Chief Legal Officer and Director, Government & Community Relations and take initiative to work necessary overtime.

Ability to prioritize assignments, solve problems and work quickly, efficiently and accurately. Knows when to ask for guidance, clarification and assistance.

Ability to adapt to last minute changes in direction without losing focus or accuracy.

Judgment, discretion, ability to execute tasks flawlessly, ability to respond quickly and appropriately to requests from both inside and outside the company.

Excellent written and oral communications skills -- clear, concise and organized.

Mastery of, or ability to master quickly, Word, Excel, PowerPoint, Concur, NECHO, TeamSite, SharePoint, U.S. Congress lobbying disclosure reporting site, and FEC PAC reporting.

High level of professionalism, confidentiality, discretion and judgment.

A strong individual contributor who can equally function as an effective team player.

Flexible with the ability to adapt and manage stress in an effective, appropriate manner.

Able to take initiative to begin and complete projects with little supervision.

Knows how to effectively diffuse potentially difficult situations with humor, grace and skill.

Confident, assertive, thoughtful, insightful, self-motivated and self-directed.

Excellent follow-up.

High School Diploma or equivalent required, College degree preferred.
