The CarMax Business Office Manager is responsible for managing a team of associates whose primary responsibilities include cash management, processing and auditing of paperwork associated with sales, and providing exceptional customer service. Principle Duties And Responsibilities Â¿ Assists in personnel selection by attending job fairs, performing interviews and extending job offers. Â¿ Manages certification program to train and develop each associate. Â¿ Manages cash process including receiving and counting money, distributing funds, preparing deposits and handling of safe with considerations to security. Â¿ Provides customer service to internal and external customers by listening, answering customer questions and explaining paperwork process. Â¿ Manages paperwork process associated with retail automobile sales including printing daily reports, maintaining deal jackets, contacting finance companies regarding contracts, obtaining required information regarding registration and titling, and auditing completed paperwork. Â¿ Manages paperwork process associated with an appraisal lane purchase including title collection calls and follow up, obtaining proper paperwork and signatures from customers and sending appropriate documentation to Corporate for funding of drafts. Â¿ Manages paperwork process affiliated with the State DMV. This includes submitting paperwork necessary to title and register a vehicle for a customer after the sale. Â¿ Reconciliation of several accounts like sales audit, credit cards, customer deposit, and mail refund. Â¿ Perform a Performance analysis by: reviewing the KPM report, analyze data, validate the process, develop and implement an action plan to correct any issues. Â¿ Clerical responsibilities including copying, filing and answering phones. Job Specifications Work requires ability to: Â¿ Read, interpret and transcribe data in order to maintain accurate records. Â¿ Understand numeric filing system. Â¿ Use word processing, spreadsheet and other programs, displaying intermediate PC skills. Â¿ Multi-task in a high energy, fast-pace work environment. Â¿ Lift objects that weigh as much as 15-20 lbs. Â¿ Speak and listen effectively in dealing with customers in person and over the phone. Â¿ Complete CarMax provided training on the functional areas of the Business Office, allowing for cross-training and full coverage of Business Office. Â¿ Satisfactory completion of Senior MAP is required.
